Privacy and security of all information is an essential and important policy of Officials-for-Sport.com Ltd. We always take every reasonable effort to protect the personal information of everyone who uses our service.

Officials-for-sport.com Ltd (known as officialsforsport.com, whostheref.com, whostheumpire.com and other variants) provides online software and data storage for the purpose of managing sports officials and their appointment to fixtures. This service is provided through our websites known as WhosTheRef.com and WhosTheUmpire.com or via a customers own URL (know as white labelling) and are secured using 256-bit encryption.

 

All employees of officials-for-sport.com Ltd, or contractors, or other third parties are contractually obliged to be familiar with and comply with the principals of the UK's Data Protection Act 1998.

Physical Security

The websites and associated databases are hosted at secure and professional facilities within the UK.

 

The administrative offices of officials-for-sport.com Ltd are never unattended whilst unlocked and visitors are always accompanied. Our internal IT systems are controlled by strong passwords and fingerprint recognition technology. Our network is protected by a firewall and PCs have appropriate anti-virus and anti-malware measures installed. All paper containing personal information is shredded and properly disposed of.

 

Electronic data that is sent to us for uploading is destroyed once that task has been completed.

Privacy

In the context of our relationship with you, the Customer, officials-for-sport.com Ltd are referred to as a Data Controller. 

In the context of you, the customer, making the Service available to your users, officials-for-sport.com Ltd are a Data Processor.

In either case, officials-for-sport.com Ltd commit to:

  1. Never sending bulk or unsolicited emails unless required to do so for the satisfactory administration of the Service.

  2. Never sharing your information with another organisation without your or your users' permission save to the extent it is obligated to do so by Law.

We may, from time to time, contact you or your users to notify you or your users of matters relating to the Service such as new functionality, services or enhancements.

Cookies

A cookie is a small file which stores data on your device. The public pages of the officials-for-sport.com Ltd websites use cookies to analyse users' behavior, for example which pages have been visited. Within the public pages of the websites, we do not use cookies to personally identify the user.

Your Own Privacy Policy

Your organisation's Policy can be made part of the authentication process in that your users must acknowledge they have read your Policy before proceeding. Your own Policy can be made available online.

Controlling Personal Data

The minimum personal information required for most users to use the Service is their email address. However additional information is desirable in order for the user to gain maximum benefit from the Service. Users have control over which personal information is available to other users. However selected information is always available to Appointers and Managers within the users' organisation(s).

 

The Service facilitates the sharing of personal information with other organisations, this is for the purpose of appointing officials to fixtures within another organisation. Your own Privacy Policy should explain this to your users. We may share your users' email address and/or mobile number with third parties for the purpose of delivering email or SMS messages. Your users may opt out of receiving SMS messages.

 

Passwords are encrypted prior to leaving the users' computer and are never stored in a human readable format. As passwords are not stored in plain text they cannot be retrieved.

Information Collected By Us

Officials-for-sport.com Ltd collects and stores information for the purpose of enhancing the security of the Service and analysing users' behaviour in order to enhance the operation of the Service.

This information includes:

  • A record of every attempt, successful or otherwise, to log into the Service
  • A record of password changes
  • The URL of each page accessed
  • A record of every CREATE, UPDATE or DELETE command used on the database
  • A record of all emails generated by the Service

These records may include:

  • Data that identifies the user
  • The IP address of the user's device
  • Data that identifies the user's ISP
  • Data that identifies the user's browser
  • The date and time of the user's action
